Terms and Conditions

Thank you for considering Hanover Country Club for your special event. Our goal is to provide an outstanding experience for you and your guests. Listed below are our policies concerning banquet and catering functions.

Hanover Country Club is responsible for all food items, beverages, facilities and service required ensuring your event is a seamless event.
We offer a wide array of menu items that will truly satisfy all appetites. These carefully planned and prepared food and beverage items will be helpful to you in planning your upcoming event. We also will offer additional information or suggestions should you desire services that are not listed.

The Virginia ABC Board regulates the sale and service of alcoholic beverages. Hanover Country Club is the only licensed authority to sell and serve alcoholic beverages for consumption on the premises. Alcoholic beverages are not permitted to be brought onto the club property. Alcoholic beverages purchased at Hanover Country Club are not to be taken off the premises.

Service Charge
A 20% service charge is added to total food and beverage charges. An additional 5% Virginia State Sales tax is also added to total charges.

Menu Prices
Please note that the prices reflected on the menus are per person unless otherwise specified. Hanover Country Club reserves the right to reflect any changes in our menu pricing. You may anticipate a minimum of 5% increase in food and beverage pricing per year. All beverage charges are based on consumption and tallied at the end of the event. Prices for open and cash bar include mixers.

Confirming an Event
At the time of booking any event, a deposit of 20% of the estimated total (minimum of $100) is required to reserve your date.

After the initial meeting a banquet contract will be presented which outlines the basic requirements of your group and the arrangements that were agreed to during the meeting. The contract needs to be signed and returned to Hanover Country Club. The banquet contract will indicate the estimated balance of your financial obligation. Any changes to the contract, excluding guest count, must be completed 10 days prior to the event.

Guaranteed Number of Guests
A guaranteed number of guests is required by noon, ten (10) working days prior to your scheduled event. If guarantee is not received, the estimated number of guests will be the guarantee. Any increase after the guarantee is set will be subject to product availability.

Residual Food
All food items remaining upon the conclusion of the event is the property of Hanover Country Club. Any food given to the host at the end of the event will be at the discretion of the Manager.

Cancellation Policy
A charge of fifty percent (50%) of the anticipated cost of a private event will be charged if the event is canceled within ten (10) working days of the scheduled date and time.

Entertainment & Decorations
All details of entertainment, music, decoration, etc…must be made known in advance and approved by the General Manager. No special equipment except that which is arranged and supplied, or approved by the General Manager will be permitted. No musical group may be booked for later than 12:00 midnight.
You may provide centerpieces and additional decorations with the approval by the General Manager. It is your responsibility to take your decorations with you upon departure.
ROOM CHARGES

Quoted room charges apply to all events that are member-sponsored. When a member has an event for immediate family members or if the member has an event for a business which he or she owns then there is no room charge. Under no conditions may a member event or member-sponsored event send out invitations using a general mailing list, or advertise through newspapers or any other media.
